GDPR information, General Data Protection Regulation:
Personal integrity is important for us. We guarantee that your personal data registered in ECSS 2018 database is secure and is treated correctly. The data is used for this conference only and is secure from unauthorized access, according to the new EU-regulation “GDPR”.
When you register for our conference ECSS 2018 you agree that we handle your registered data in the conference database. Since the GDPR regulation is based on agreement you can at any time ask us to delete your data. Your data related to ECSS 2018 will be deleted when it is not relevant for the conference.
Important information about VAT on fees
Please note, in accordance with Swedish Value Added Tax (VAT) requirements, any company or organization from EU with a registered VAT number or equivalent tax registration number is NOT required to pay Swedish VAT for registration fee attending a conference in Sweden.
Any company or organization outside EU with a registered tax registration number, or with a valid company name is NOT required to pay Swedish VAT for registration fee attending the conference in Sweden.
Delegates from Sweden and private persons are required to pay VAT on registration fee (25%), social events (25%) and hotel (12%).
The fees are stated in SEK and excluding Swedish VAT.
Please observe that the stated VAT number needs to be correct when registering for the conference.
If the wrong VAT number is stated in the registration form a changing fee of SEK 250 will be charged and you will also be charged the VAT amount (25%). This mistake could also incur a penalty from the Swedish tax office for false information.

Please have your VAT/tax registration number ready before you start the registration process.
Payment
The conference fee can be billed to the specified billing address, or paid by card through our secure DIBS solution.
An additional fee of 49 SEK including VAT will be charged when paying by invoice.
Sweden MEETX confirm and invoice including VAT. Payment terms are 30 days. Payment shall be received before the meeting begins.
Cancellation of registration and social events
The registration is binding, but may be transferred to another person of your organization to a cost of SEK 250 excluding VAT. Please contact Sweden MEETX in writing via ecss2018@meetx.se.
Change of registration category
The registration is binding, but may be transferred to another person of your organization to a cost of SEK 250 excluding VAT.
If the transfer will involve a change of registration category to a higher price, this cost will be added to the changing fee as well.

Change fees applicable for registration and invoices
Improper dejected billing address is charged SEK 250 excluding VAT for readdressing and retransmission of invoice.
Delayed payment fee is SEK 60 including VAT as a reminder fee.
Cancellation of hotel/accommodation

• Until 8 weeks before the date of arrival, the reservation can be canceled free of charge.
• From 8 to 6 weeks before arrival - 50% of the room cost is charged.
• From 6 to 4 weeks before arrival - 80% of the room cost is charged.
• If canceled from 4 weeks until the date of arrival, no refund is possible.
Please note that the change of arrival / departure date within this time limit is counted as cancellation. Cancellations and /or changes must always be made directly to Sweden MEETX AB and not to the hotel.
Payment
The conference fee can be paid by card through our secure DIBS solution.
Payment shall be received before the meeting begins.
Administration
The conference is administered by Sweden MEETX.
